The Team plan gives your organization a shared diagram library — a central home for every BPMN process your team has documented. Instead of hunting through individual accounts or forwarding diagram links over chat, every team member can open the library and find the process they need instantly.

Adding a diagram to the team library

When you create or edit a diagram and want to make it available to the rest of your team, publishing it to the shared library takes just a couple of clicks.

Open the diagram

Navigate to the diagram you want to share from your personal dashboard.

Open the sharing options

Click the Share with team button in the top toolbar, or select Add to team library from the diagram’s action menu (the ⋯ icon).

Confirm

The diagram is now listed in the team library and is immediately visible to all members of your organization.

Browsing and searching the team library

Once diagrams are in the shared library, every member of the organization can access them without needing an individual share link.
  • Browse: open the Team Library tab in the left sidebar to see all published diagrams.
  • Search: use the search bar at the top of the library to filter by diagram name, process area, or keyword.
  • Open: click any diagram thumbnail to open it in the editor or in read-only view, depending on your access permissions.
Use the team library as your organization’s process repository — the single source of truth for all documented business processes. When a process changes, update the diagram in the library and everyone is instantly working from the latest version.

Inviting members to your team

A shared library is only useful if your teammates can reach it. To add people to your organization:

Go to Team Settings

Click your organization name in the top navigation, then select Team Settings.

Click Invite members

Select Invite members from the Members section.

Enter email addresses

Type one or more email addresses and choose each person’s starting role, then send the invitation. They will receive an email with a link to join your team.
The team library is a Team plan feature. Users on the Free and Pro plans have a personal diagram library tied to their own account only. To unlock the shared library, upgrade your organization to the Team plan from Settings → Billing.

Access Control

Set Viewer, Editor, or Admin permissions on each diagram for individual team members.
